Position Information

The First Year Engineering Club (FYEC) is an organization comprised of all first-year engineering students at the UofA. The FYEC Executive Team is made up of the following seven positions:

President

Leads the Mechatronics Club as a whole. This includes guiding advocacy efforts, managing the Senior Executive, coordinating internal relations, and reporting to the ESS Board of Directors.

Specific responsibilities includes, but is not limited to the following:

  • Represents the Mechatronics Discipline Club to the student body, ESS, other organizations and the public

  • Chairs the weekly Senior Executive meetings

  • Provides leadership and direction for the Mechatronics Discipline Club

  • Plans and Executes the Mechatronics Discipline Club’s Annual General Meetings in the fall and winter semesters

  • Responsible for overseeing transition between outgoing and incoming executives

  • Attends the month ESS Board of Directors Meetings

Vice President of Academics

Manages Academic Services provided by the Mechatronics Club. This includes studying, mentorship, health & wellness, public speaking, and professional development. The VP Academics & Services is also responsible for Academic-specific Advocacy, including sitting on the ESS’ Academic Committee.

Specific responsibilities include the following:

  • Is the team leader for the Office of Academics and Services

  • Meets with the ESS, Faculty and the University to discuss students’ academic needs and concerns

  • Ensure the creation and/or maintenance, timely procurement and delivery, and quality of Mechatronics Club Services

  • Seek new ways of meeting student needs through Mechatronics Club services

  • Provide academic events and services such as tutoring, resources and advocacy  

  • Sit on the ESS’ Academic Committee

Vice President of Communications

Oversees all of the Mechatronics Club’s communication platforms, branding, and outreach. This includes social media and more. The VP Communications also coordinates with the ESS, Faculty and external organizations on communications and outreach projects.

Specific responsibilities include the following:

  • Is the team leader for the Office of Communications

  • Manages all communications and publications of the society

  • Acts as the primary contact for marketing and communications between student members, the ESS and the Faculty

  • Responsible for advertising all Mechatronics Club’s events and initiatives

  • Ensures the professional image of the society is maintained at all times

Vice President of Operations & Finance

Leads financial management for the Society and serves as the Treasurer. In addition to preparing the annual budget and financial statements.


Specific responsibilities include:

  • Is the team leader for the Office of Finance

  • Is responsible for the approval of any expenses made on behalf of the Club

  • Manages the Mechatronics Club’s annual operating budget

  • Manages the Mechatronics Club operating bank account.

  • Makes timely reimbursements for claimed expenses

  • Finds an auditor from outside of the Mechatronics Club to prepare and audit yearly financial statements

Vice President of Student Life

VP Student Life would be responsible for the Club’s events, including GEER Week.

Specific VP responsibilities include:

  • Is the team leader for the Office of Student Life

  • Improves student life and builds community in the Mechatronics Club by hosting social events

  • Outreach to different entertainment organizations in Edmonton; building and maintaining valuable relationships

  • Works with the Directors to ensure all Mechatronics Club events are planned and executed safely, on schedule, within budget, and with sufficient advertising

  • Maintains relations with the University of Alberta Office of Risk Management

  • Maintains relations with the SU’s Student Groups’ Services

  • Provides direction and support to the Directors to complete pre-event risk assessments in advance of events to ensure hazards are identified and ample mitigations are in place and to ensure all events are properly approved through Rubric

Vice President of External Relations

Serves as the primary contact to external businesses and institutions. Manages the industry mixers and various opportunities for students to further their career.

Specific responsibilities include:

  • Is the team leader for the Office of External Relations

  • Is the face of the Mechatronics Club to external bodies, such as companies, and partners.

  • Is the face of the Mechatronics Club to professional engineering groups, establishes & maintains professional lines of communication for Mechatronics Club initiatives.

Vice President of Internal Affair

Responsible for the internal activities in the Society. This includes the operation of the Merchandise, Human Resources, and Recruitment.

Specific VP responsibilities include:

  • Is the team leader for the Office of Internal Affairs

  • Manages Mechatronics club operations, including facilities maintenance and management, merchandise operations, and storage

  • Plans, directs and coordinates the administrative functions of the Mechatronics Club

  • Oversees an equitable and comprehensive recruitment process, ensuring the Mechatronics Club is well staffed

  • Ensures all Mechatronics Club volunteers are treated fairly, are actively engaged and feel valued; and takes corrective actions if any volunteers aren’t

  • Oversees all document tracking and transition of volunteers from year to year, ensuring future Mechatronics Club teams are provided the correct resources and information to be successful.
